Team Replacements

A quick guide on how the Team Replacements feature works, allowing for the quick changes to leadership status of users, either permanently or temporarily. 

The Team Replacement feature allows seamless transfer of leadership and associated permissions from one user to another, either immediately or on a scheduled basis. This supports planned leave coverage or permanent role changes, with optional notifications for both incoming and outgoing leaders to ensure transparency.

Replacements cannot occur if the current Team Leader has outstanding follow-ups or unresolved workflows. Once these tasks are completed, the incoming leader assumes full responsibility. The system automatically checks hourly for pending replacements and completes the handover as soon as all requirements are met, reducing administrative effort and ensuring smooth transitions.

Create a Team Replacement:

  1. Log into the web portal.
  2. In the left hand side bar select "Manage" and ‘Team Replacements’.
  3. Select ‘New Team Replacement’.
  4. Configure replacement details.
  5. Save.

 

Cancelling/ending a pending or ongoing team replacement:

  1. Log into the web portal.
  2. Open ‘Team Replacements’.
  3. Find the Team Replacement you would like to cancel/stop.
  4. Click the three dots next to the team replacement, then select cancel/stop replacement. This can also be done in the team menu.
